Basically speaking documents are the key vehicles by which information moves within any business. Much attention thus needs to be put in the amounts spent on printing and other related services. The device utilization and the printing materials used will greatly determine the costs you will incur in any print work. Key to determine is what department in the organization prints most documents and how often they do their printing. The type of devices used and the cost per each document would also be crucial in the cost management. There is undisputed prestige in using pricey name brand ink but is it really healthy for your business? Most of the time you realize that you actually spend more than is healthy for your business operations while going for these branded inkjet inks while you can simply get inexpensive third party ink. More of these are the cartridges. The Remanufactured cartridges are known to give more printing than the branded ones. Some may argue that the third party cartridge print quality is low but this only applies to photo printouts. If in any case the print work mostly comprises of text documents, there is absolutely no reason to worry as the printout will be of absolute good quality.

Most people tend to use the standard if not classic mode of the printer which in the long run costs them more. The economy mode is the solution to squeezing some more life from the toner or ink cartridge. This is a technique known to very few yet very efficient. You know better than I do that not every part of your document needs to be printed in a frame fitting format. This is where the economy mode sets in and as it name suggests you surely will use less ink yet deliver the documents in a readable format. Prior to any printing the print dialog gives you the option to choose from the modes which you intend to use. This is when you choose either draft mode, toner saver, economy mode or such other name that would be used to refer to the economy mode. To save you from the hassle of setting it every time you need to print you can simply make it the default mode.
Another technique that will see you saving on ink and paper is printing two sheets on each page of the print paper. In the lower right corner of the print dialog is the option of printing two sheets on each page. The pages are shrunk to fit on half of the page by reducing them in size and rotating at 90degrees. This enables the two sheets to fit on a single page landing side by side in a booklet format. Much as it may not be practical to most print needs it saves a lot if used where necessary. More to the economical paper use is printed on both sides of the sheets. This cuts by half the number of papers that would have earlier been used to put the work into print.

You save even more by printing to PDF. Bypassing the papers entirely helps save paper and ink. If possible consider printing the documents to PDF files that you can simply store in your PC or even email to others. Most softwares will allow you to convert the documents to PDF and getting the document to the recipient electronically becomes quite easy and saves on the costs.
Another way that can see you save up to 30% on your total in-house printing costs is the use of laser printers. This mostly fits individuals who are infrequent photo printers but prefer keeping web receipts and such other documents in hard copy. The laser printers may be considerably more expensive than Inkjets but the toner cost per page is much lower and can last for long periods.

These are just but a few techniques applicable in any institution. The telecom based institutions are much favored given the bulk and lengthy communication documents that roll in an out and need to be printed. A consideration to adopt these techniques would thus not just see you save up to 30% on your total in-house printing costs but also increase the business operation efficiency.
